Manage SEO Tool members, usage and the audit log

Add people to your SEO workspace with a role, see how much the SEO Tool uses your AI keys, set usage limits and alerts, and search the audit log.

The SEO Tool has three pages for working with other people and keeping an eye on the tool. Members controls who can work in your SEO workspace, API usage shows how often the tool calls your AI model and answer-engine keys, and Audit log lists everything that has happened.

Before you start

  • Set up your SEO workspace. See Set up the SEO Tool.
  • To add someone, they need a Pinned account already.

Add a member

This applies to your personal SEO workspace. Team workspaces work differently; see "Members of a team workspace" below.

  1. In the sidebar, click SEO Tool.

  2. Across the top, click Members.

  3. Under Add a member, click the Email of their Pinned account field and type the email address of their Pinned account. The hint inside the field shows an example address.

  4. In Role, choose what they can do. The default is reviewer.

  5. Click Add.

The workspace shows up in their SEO Tool section right away, on the owner's plan. Nothing is emailed, so tell them yourself.

The member list shows each person's Email, Role, Status and Added by. Your own row has "(you)" after your email. The status is owner for the account that created the workspace (its connected stores back the workspace), active for people who have the workspace, or invited for anyone who hasn't accepted yet.

Remove a member

Only admins can remove people.

  1. Go to Members.
  2. Find the person in the list.
  3. Click Remove at the end of their row.

There is no Remove button on the owner's row or on your own row.

Members of a team workspace

If the workspace belongs to a team, its members come from that team on the Connections page. The owner is an admin and teammates are editors. Inviting or removing someone on Connections changes it here, and the Add a member form and Remove buttons don't appear. For how teams work, see Work with workspaces and teams.

Check your API usage

The API usage page counts every call the SEO Tool makes with your language model and answer-engine keys. That covers new articles, refreshes, localizations and their parity reviews, style guide reading and the AI visibility engines. To connect your own key, see Connect your own AI model.

  1. In the SEO Tool, click API usage.

  2. Read the tiles at the top: Last 24 hours, Last 7 days, Last 30 days and Open alerts. The first three show tokens, calls and any failed calls.

  3. Scroll to Tokens per day, last 30 days. A red bar is a day with at least one failed call. Hover a bar for the numbers.

  4. Check By purpose, last 30 days and By provider and model, last 30 days to see where the usage comes from. Each table shows Calls, Failed, Input tokens and Output tokens.

  5. At the bottom, Recent calls lists the latest 50 calls with their time (in UTC), purpose, provider and model, tokens in and out, latency and result.

Only calls made by Pinned are counted. Your AI provider's own usage page also shows anything else done with the same key.

A new workspace shows zeros and messages such as "No calls in the last 30 days." until the tool makes its first call.

Respond to a usage alert

When an hour or a day runs far past your limits or your own two-week average, an alert opens. A banner titled Unusual API usage in this workspace then appears on every SEO Tool page until you acknowledge it.

  1. If you didn't expect the extra usage, pause scheduling and rotate the keys at your AI provider.
  2. Click the link in the banner to open the usage page and see the breakdown.
  3. Click I have seen this next to the alert, either in the banner or in the Alerts list.

The alert then shows as acknowledged with the date. The banner stays until every open alert is acknowledged. The Alerts list shows the 20 most recent.

Set usage limits

  1. On the API usage page, scroll to Limits.
  2. Change the numbers you want: Calls per hour, Calls per day, Tokens per day and Failed calls per hour.
  3. Set the two spike fields, Spike: times the 2-week daily average and Spike: at least this many tokens. Together they decide when a jump above your usual daily average counts as unusual.
  4. Click Save limits.

An alert opens when a line is crossed, at most once per line per day. Size the limits to your real week. A Monday with three drafts, two localizations and a full AI visibility run is roughly 150 calls and 700,000 tokens.

Auto-translate counts toward tokens but not toward the call limits. Each brand has its own daily token budget on its Translations tab. See Translate your store automatically.

Search the audit log

The Audit log lists every generation, review, publish, sync and settings change in the workspace, newest first. It only grows: entries can't be edited or removed. The number of entries appears under the heading.

  1. In the SEO Tool, click Audit log.
  2. Read the columns: When, Who, Action, Target and Detail. When the target is an article, its short code is a link that opens the article.
  3. To narrow the list, type part of an action name in the filter field, then click Filter. The hint reads "filter by action, e.g. publish, compliance, webhook".
  4. To move through long lists, use Older and Newer below the table. Each page shows 100 entries.

To see everything again, clear the filter field and click Filter.

Troubleshooting

I don't see the Add a member form

Only admins can add members, and only in a personal workspace. In a team workspace, manage people on the Connections page.

The person I added can't find the workspace

They need a Pinned account, and you must use the email of that account. Nothing is emailed, so tell them to open the SEO Tool section in their dashboard.

An alert banner keeps showing

It stays until a person acknowledges each alert. Click I have seen this on every open alert.
